Getting Started

What is SDS Copilot?

SDS Copilot is an AI-powered web application designed to streamline the creation of Safety Data Sheets (SDS). Our platform helps you generate compliant SDS documents by combining your ingredient information with our AI-assisted content generation.

Creating Your Account

  1. Visit our Sign Up page
  2. Enter your username, email address, and create a password
  3. Click the "Sign Up" button
  4. You'll be redirected to the login page
  5. Enter your email address and password to access your account

System Requirements

SDS Copilot works on all modern web browsers, including:

  • Google Chrome (recommended)
  • Mozilla Firefox
  • Microsoft Edge
  • Apple Safari

No software installation is required—simply access our platform through your web browser.

Creating a Safety Data Sheet

The SDS Creation Process

  1. Start a New SDS: From your dashboard, click "New SDS"
  2. Select a Template: Choose from available SDS templates
  3. Complete Section 1 (Identification): Enter product and company information
  4. Complete Section 2 (Hazard Identification): Enter hazard information or use Smart Complete
  5. Complete Ingredients Section: Add your product ingredients and their concentrations
  6. Complete Remaining Sections: Fill in each section or use Smart Complete to generate content
  7. Generate PDF: Click "Generate PDF" to create your final document

Navigating the SDS Form

  • Use the "Next" and "Previous" buttons to move between sections
  • The progress bar at the top shows your current position and completion status
  • Required fields are marked with an asterisk (*)
  • Each section has specific input fields for required information

Required Information

To create a complete SDS, you'll need:

  • Product and company identification information
  • Ingredient composition data (names, CAS numbers, percentages)
  • Physical and chemical properties
  • Hazard information (or use our Smart Complete to generate this)

Using AI Smart Complete Features

What is Smart Complete?

Smart Complete is our AI-powered feature that automatically generates content for various SDS sections based on your provided ingredient information. This can save significant time and ensure compliance with regulatory requirements.

Available Smart Complete Sections

Smart Complete is available for the following SDS sections:

  • Section 2: Hazard Identification
  • Section 4: First Aid Measures
  • Section 5: Firefighting Measures
  • Section 6: Accidental Release Measures
  • Section 7: Handling and Storage
  • Section 8: Exposure Controls/Personal Protection

How to Use Smart Complete

  1. Enter your product ingredients in the ingredients section
  2. Navigate to a section with Smart Complete available
  3. Click the "Smart Complete" or "Generate [Section] Content" button
  4. Wait while our AI analyzes your ingredients and generates appropriate content
  5. Review the generated content and make any necessary adjustments
  6. Proceed to the next section

Tips for Best Results

  • Provide accurate ingredient names and CAS numbers
  • Include concentration percentages for all ingredients
  • Always review AI-generated content for accuracy
  • Make adjustments as needed based on your specific product requirements

Managing Templates

Available Templates

SDS Copilot offers several template options to customize the appearance of your SDS:

  1. Standard: Classic black and white format
  2. Minimal: Clean, streamlined design
  3. Blue Header: Professional design with blue section headers
  4. Red Header: Bold design with red section headers

Selecting a Template

  1. When starting a new SDS, you'll first see the template selection screen
  2. Click on a template preview to select it
  3. The selected template will have a blue highlight around it
  4. After selecting a template, click "Next" to begin filling out your SDS

Changing Templates Mid-Creation

You can change your template at any time during the SDS creation process:

  1. Save your current progress
  2. Return to the first page of the form
  3. Select a different template
  4. Your existing content will be preserved with the new template style

Working with Logos and Pictograms

Adding Your Company Logo

  1. Navigate to Section 1 (Identification)
  2. In the "Company Logo" section, click "Choose File" or "Browse"
  3. Select your logo file (supported formats: PNG, JPG, JPEG)
  4. Your logo will be uploaded and displayed in the preview
  5. The logo will appear in the header of your generated PDF

Logo Requirements

  • File formats: PNG, JPG, JPEG
  • Maximum file size: 5MB
  • Recommended dimensions: 300×100 pixels
  • Aspect ratio: 3:1 (width to height) works best

Selecting GHS Pictograms

  1. Navigate to Section 2 (Hazard Identification)
  2. In the "Pictograms" section, you'll see all available GHS pictograms
  3. Click on the pictograms that apply to your product
  4. Selected pictograms will have a blue highlight
  5. To deselect a pictogram, click it again
  6. Selected pictograms will appear in your generated SDS

Smart Complete for Pictograms

When using Smart Complete for Section 2, our AI will automatically suggest appropriate pictograms based on your ingredient information. You can still manually adjust these selections.

Saving and Managing Forms

Saving Your SDS

SDS Copilot offers several ways to save your work:

  • Manual Save: Click the "Save" button in the top navigation bar at any time
  • Autosave: The system automatically saves your progress every 2 minutes
  • Save Reminders: If you try to navigate away with unsaved changes, you'll be prompted to save

Accessing Saved Forms

  1. Click "My Forms" in the navigation bar
  2. You'll see a list of all your saved SDS forms
  3. Forms are sorted by last update date (newest first)
  4. Click "Edit" on any form to continue working on it

Managing Your Forms

From the "My Forms" page, you can:

  • Edit: Continue working on an existing SDS
  • Download PDF: Generate and download the SDS as a PDF
  • Delete: Remove an SDS from your account (requires confirmation)

Form Version History

SDS Copilot tracks the creation and update dates for each form. The "Last Updated" timestamp is displayed in your forms list, helping you identify recent changes.

Generating PDFs

Creating Your SDS PDF

There are two ways to generate a PDF of your SDS:

  1. During SDS Creation:
    • Complete all required sections of your SDS
    • Navigate to the final section
    • Click the "Generate PDF" button
    • The PDF will be generated and downloaded automatically
  2. From Forms List:
    • Go to "My Forms" in the navigation bar
    • Find the SDS you want to download
    • Click the "Download PDF" icon in the Actions column
    • The PDF will be generated and downloaded automatically

PDF Generation Requirements

To ensure successful PDF generation:

  • Complete all required fields (marked with an asterisk *)
  • Provide product identification information
  • Include at least one ingredient
  • Complete hazard identification information

PDF Structure and Compliance

Generated PDFs include:

  • All 16 standard SDS sections required by GHS
  • Your company logo (if provided)
  • Selected GHS pictograms
  • Ingredients table with percentages
  • Revision date and version number
  • Formatted according to your selected template style

Troubleshooting PDF Issues

If you encounter problems with PDF generation:

  • Check that all required fields are completed
  • Ensure your logo file meets the format and size requirements
  • Try using a different web browser
  • Clear your browser cache and try again
  • If problems persist, contact our support team

Account Management

Updating Your Profile

To update your account information:

  1. Log in to your SDS Copilot account
  2. Click on your username in the top-right corner
  3. Select "Profile Settings" from the dropdown menu
  4. Edit your username, email, or company information
  5. Click "Save Changes" to update your profile

Changing Your Password

  1. Log in to your SDS Copilot account
  2. Click on your username in the top-right corner
  3. Select "Profile Settings" from the dropdown menu
  4. Click the "Change Password" tab or button
  5. Enter your current password and your new password twice
  6. Click "Update Password" to save your new password

Resetting a Forgotten Password

  1. Go to the Login page
  2. Click "Forgot Password?" or "Reset Password"
  3. Enter the email address associated with your account
  4. Click "Request Password Reset"
  5. Check your email for a password reset link
  6. Click the link in the email and enter a new password
  7. Submit the form to update your password

Note: The password reset link expires after 24 hours for security reasons.

Account Security

Tips for keeping your account secure:

  • Use a strong, unique password
  • Do not share your login credentials with others
  • Log out when using shared or public computers
  • Keep your email address up to date
  • Update your password regularly

Troubleshooting

Common Issues and Solutions

Form Saving Issues

Problem: Unable to save your SDS form.

  • Check your internet connection
  • Ensure you're logged in to your account
  • Try refreshing the page and saving again
  • Enter a unique title for your SDS
  • Clear your browser cache and cookies

PDF Generation Problems

Problem: PDF won't generate or downloads a corrupted file.

  • Ensure all required fields are filled out
  • Check that your logo file is in a compatible format (PNG, JPG)
  • Reduce the size of your logo file if it exceeds 5MB

  • Disable browser extensions that might interfere with downloads

Smart Complete Not Working

Problem: AI Smart Complete feature not generating content.

Solutions:

  • Ensure you've added ingredient information (required for AI generation)
  • Check that ingredients have proper CAS numbers when possible
  • Refresh the page and try again
  • Wait a few minutes and retry (our AI system may be experiencing high demand)
  • Try using more specific chemical names for better AI recognition

Browser Compatibility Issues

If you experience display or functionality issues:

  • Update your browser to the latest version
  • Try using Google Chrome, which is our recommended browser
  • Clear your browser cache and cookies
  • Disable browser extensions that might interfere with the application
  • Ensure JavaScript is enabled in your browser settings

Q: How accurate is the AI-generated content?

A: Our AI uses up-to-date chemical databases and regulatory information to generate content. While the accuracy is very high, we recommend reviewing all AI-generated content before finalization to ensure it meets your specific requirements.

Q: Can I edit the AI-generated content?

A: Yes, all AI-generated content can be freely edited and customized to meet your specific needs.

Account & Billing

Q: Is there a limit to the number of SDS documents I can create?

A: Free accounts can create up to 3 SDS documents. Our Premium and Enterprise plans offer unlimited SDS creation. Visit our pricing page for more details.

Q: How do I upgrade my account?

A: Log in to your account, click on your username in the top-right corner, select "Account Settings," and click the "Upgrade Plan" button. Follow the prompts to select a plan and complete payment.

Q: Can I cancel my subscription?

A: Yes, you can cancel your subscription at any time from your Account Settings. Your premium access will continue until the end of your current billing period.

Data & Security

Q: Is my data secure?

A: Yes, we take data security seriously. All data is encrypted in transit and at rest. We do not share your information with third parties, and we implement industry-standard security practices.

Q: How long is my data stored?

A: Your SDS forms and account information are stored as long as you maintain an active account. If you delete a form, it is permanently removed from our systems.

Q: Can I export all my data?

A: Yes, Premium and Enterprise users can export all their SDS data in a batch format. Free users can download individual SDS documents as PDFs.

Technical Questions

Q: Can I use SDS Copilot on mobile devices?

A: Yes, SDS Copilot is responsive and works on tablets and smartphones. However, for the best experience, we recommend using a desktop or laptop computer.

Q: Are there any limits on file uploads?

A: Yes, logo files must be under 5MB and in PNG, JPG, or JPEG format.

Q: Does SDS Copilot work offline?

A: No, SDS Copilot requires an internet connection to access our database and AI features. Downloaded PDFs can be viewed offline.
